Returns & Refunds Policy

This policy sets out your rights and our approach to returns and refunds when purchasing products or services from Pho Marketing Collective (phomarketingcollective.com), operated by Phoebe Baker.

1. Digital products

The Customer Journey Mapping Kit

The Customer Journey Mapping Kit is a digital product delivered immediately upon purchase. Because it is a digital download granted instant access, we are unable to offer refunds once the product has been accessed or downloaded, in line with UK Consumer Contracts Regulations 2013.

If you experience a technical issue that prevents you from accessing the product, please contact us within 14 days of purchase at hello@phomarketingcollective.com and we will resolve this promptly.

2. Services

The Clarity Audit

The Clarity Audit is a paid strategic session. The following terms apply:

  • A full refund is available if you cancel more than 48 hours before your scheduled session

  • Cancellations within 48 hours of the session are non-refundable, as pre-work and preparation will have been completed on your behalf

  • If we need to cancel or reschedule your session for any reason, you will be offered a full refund or an alternative date at your preference

Strategy Sessions

The same cancellation terms apply to Strategy Sessions:

  • Full refund for cancellations made more than 48 hours before the scheduled session

  • No refund for cancellations within 48 hours of the session

  • If we cancel, a full refund or reschedule will be offered

Ongoing retainer and project work

For project-based services (such as Roots to Results website design or The Content Rebrand) and project arrangements, payment terms and cancellation conditions are set out in your individual project proposal and client agreement. These take precedence over this general policy.

Deposits paid to secure a project start date are non-refundable, as they hold your place in our schedule.

3. Requesting a refund

To request a refund, please contact us at hello@phomarketingcollective.com with your order details and the reason for your request. We aim to respond within 2 business days.

Approved refunds will be processed back to your original payment method within 5–10 business days, depending on your card provider.

4. Your statutory rights

Nothing in this policy affects your statutory rights under UK consumer law, including the Consumer Rights Act 2015 and the Consumer Contracts Regulations 2013. If a service is not delivered with reasonable care and skill, you may be entitled to a repeat performance or a price reduction.

5. Changes to this policy

We reserve the right to update this policy at any time. The version in force at the time of your purchase applies to that transaction.

  • Payment details when purchasing a product or service (processed securely via Squarespace Payments or Stripe, we do not store card details)

  • Technical data such as your IP address, browser type, and pages visited (collected via Squarespace analytics)

3. How we use your data

We use your personal data for the following purposes:

  • To respond to your enquiries and deliver the services you have purchased

  • To send you session preparation materials, written summaries, or follow-up documentation

  • To process payments and manage our client records

  • To send our newsletter or marketing emails, where you have opted in

  • To improve our website and understand how visitors use it

  • To comply with legal obligations

4. Legal basis for processing

Under UK GDPR, we rely on the following legal bases:

  • Contract — where processing is necessary to deliver a service you have purchased or enquired about

  • Enquiries that do not convert to a project are deleted within 12 months

  • Newsletter subscribers are retained until you unsubscribe

We do not sell your personal data. We may share limited information with trusted third-party services to operate our business:

  • Squarespace — website hosting, analytics, and payment processing

  • Flodesk — email marketing platform (for newsletter subscribers only)

  • Tally — form submissions for the Customer Journey Mapping Kit

  • Google Workspace — for internal communications and file storage

All third parties are required to handle your data securely and in compliance with applicable data protection law.

7. International transfers

Some of the third-party services we use may process data outside the UK. Where this occurs, we ensure appropriate safeguards are in place, such as Standard Contractual Clauses or adequacy decisions, in line with UK GDPR requirements.
